Who is responsible
Carol Fleming, trading as Carol's Sparkling Cleans, is the controller of personal information submitted through this website. The business is based in Maybole, South Ayrshire. What we collect
When you contact us through the website, by email, WhatsApp or through our Facebook Page, we collect the contact, property and job details you provide, any optional photo, and the date and status of your enquiry. If you arrive through our launch advert, we also record its campaign label with a submitted quote request to understand which enquiries it generated. This label contains no advertising identifier and is kept only for the current page visit until you submit a request. WhatsApp buttons prepare a message identifying the website or launch advert; you can edit it before sending. If work is quoted or booked, we also keep the written scope and price, your acceptance and any early-start request, service and on-site safety notes, any agreed condition report and dated photographs, the recorded results of agreed basic operating checks, access and key arrangements, invoices and payment status. Carol keeps supplier safety sheets, product assessments and business compliance files in the private owner area. The website host may process technical information needed to deliver and secure the site. Please do not upload people, identity documents or other sensitive information in photos.
Why we use it
We use your details to review your request, prepare and email a written quote, record acceptance, confirm a booking, carry out the agreed cleaning, inspection and reporting, complete on-site safety checks and issue an invoice. The lawful basis for answering an enquiry and taking steps towards a booking is your request before a contract. We use agreed work records to perform the contract and accounting records to meet legal obligations. We use necessary safety records to protect Carol, customers and property. We do not use enquiry details for unsolicited marketing or sell them.
Who can see it
Carol and DominionTech, which manages the website for her, can review customer, quote, booking, safety and invoice records in the private owner area. Base44 supplies the website, private file storage and hosting. Business email is provided through GoDaddy and Microsoft 365. Base44 and its service providers may process data outside the UK, including in the United States. Base44’s data processing agreement describes transfer safeguards, including adequacy decisions and standard contractual clauses with UK provisions where applicable. You can contact us for information about these safeguards. If you contact us on Facebook or WhatsApp, Meta or WhatsApp also processes your information under its own privacy policy. Agreed condition reports are sent to the authorised recipient named in the quote. Information may also be shared where the law requires it or with professional advisers when necessary.
How long we keep it
Unbooked enquiries and their photos are reviewed and removed when no longer needed, normally within 12 months of the last contact. For completed work, we normally keep quotes, booking evidence, invoices and supporting job records for at least five years after the 31 January Self Assessment deadline for the relevant tax year, and longer if a dispute or legal duty requires it. On-site safety records are reviewed against the need to deal with incidents or claims. Supplier product sheets and business compliance documents are kept while relevant and reviewed when replaced or expired. We then securely delete records that are no longer needed.
Your choices and rights
You can ask for access, correction or deletion of your information, object to some uses, or ask us to restrict or transfer it where the law allows.
